Food Packaging Documentation: What Buyers Should Request
Organize food-contact, testing and compostability questions around the exact product structure and destination market.

Key decisions
- Product records and factory-system certificates serve different purposes.
- Identify all food-contact components and intended conditions.
- Match any public claim to the actual document scope.
Begin with the product and market
Document review is more useful when the request identifies the product. Provide the container, lining, coating, lid or film and the food contact conditions. Add the destination market and any buyer-specific documentation requirement. A generic request for all certificates may return files that do not answer the intended-use question.
Separate factory management-system records from product records. A management-system certificate describes its stated organizational scope; it does not establish every food-contact or performance claim for every item supplied by the company.
Organize the request by question
Use the framework below to clarify what the documents should demonstrate. Applicable requirements should be confirmed by the buyer's qualified advisers for the selected market and complete structure.

| Question | What to request or confirm |
|---|---|
| Intended food contact | Material identity, food types and conditions of use covered by the records |
| Testing | Sample identity, method, test conditions, result and report scope |
| Restricted substances | The exact requirement, selected structure and relevant supporting records |
| Compostability | Certified finished-product scope and disposal conditions |
| Factory systems | Certificate holder, location, activity, scope and validity |
Distinguish regulatory references from product proof
The European Commission explains the EU food-contact framework, good manufacturing practice and material-specific measures, including plastics requirements. The applicable rules depend on the structure. Do not assume that one regulation number describes the complete documentation needed for a paper, fiber or multi-material pack.
FDA provides several pathways and inventories for food-contact substances. Use precise food-contact wording when discussing the United States market rather than presenting a general FDA certification claim. For recycled plastics, review the material and process context as well as the intended use.
Keep claims and records aligned
Check whether a report names the proposed sample or a representative structure and what conditions were tested. If the lining, lid, ink or food use changes, ask whether the original records still apply. An unrelated report should not be used as proof of the changed product.
Keep food-contact suitability, PFAS-related testing, recycled content and compostability as separate claims. Request the relevant scope before placing wording on a pack or website. Store the approved specification with its supporting records so repeat orders can be reviewed consistently.
Common questions
Does a factory certificate cover every product?
No. Review the certificate scope and request product-specific records for the structure, intended food contact and destination market.
